SUMMARY

The Project Manager will oversee the WIL Project and its special programs. This role involves managing multiple facets of event planning, including staff training, keynote speaker coordination, and virtual event management.

Responsibilities:

Overall WIL Project Management & Special Programs:

  • Schedule staff trainings.
  • Develop and manage internal communications.
  • Oversee special programs, such as the Executive Sponsorship Track.

Keynote Speaker/Presenter Management:

  • Update and manage toolkits.
  • Send reminders and follow-ups to speakers.
  • Confirm session details, including names and titles, ensuring fit with curriculum.
  • Help create and edit speaker remarks for host and internal speakers.
  • Arrange and confirm travel for speakers.
  • Set up prep-calls and trainings for breakout session speakers.
  • Confirm breakout session speakers.
  • Act as on-site speaker contact.
  • Liaise with the AV team.
  • Create and manage the Run of Show.

General Internal Meeting Scheduling:

  • Schedule meetings for SHRM Store, Marketing, Customer Success, ENX, and weekly status calls.

Non-Learning Material Document Updates:

  • Update agendas by ticket type.
  • Refresh marketing toolkits.
  • Maintain materials listing by ticket type.
  • Update the scrolling deck.

Project Manage Learning Material Content & Branding Updates:

  • Identify necessary updates.
  • Set timelines for Creative Services, speakers, and key stakeholders.
  • Follow up to ensure timely updates.
  • Ensure all documents are updated and ready.
  • Create timelines and schedule re-recording of on-demand sessions.

Virtual Event Management:

  • Manage vendor relationships with MCI.
  • Update the master schedule.
  • Oversee branding updates.
  • Review final content for accuracy.
  • Manage on-site virtual event logistics.

On-site Management:

  • Oversee on-site logistics, including speaker contact liaison and signage (details TBD).

Sales & Marketing Enablement:

  • Collaborate with marketing on website and material updates.
  • Manage on-site materials.

Impact Award Management (if applicable):

  • Create and distribute surveys.
  • Clean up survey data.
  • Schedule nominee review meetings.
  • Communicate with award winners.
  • Set up prep/recording calls.


Education & Experience Requirements

  • Proven experience in project management, especially in event coordination.

Knowledge, Skills & Abilities

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time management skills.
  • Ability to manage multiple tasks and prioritize effectively.
  • Strong attention to detail and accuracy.
  • Exceptional organizational and multitasking skills.
  • Strong written and verbal communication abilities.
  • Ability to work independently and collaboratively with internal and external stakeholders.
  • Proficiency in using project management tools.
  • Willingness to travel as needed.

Physical Requirements

  • Must be able to perform essential duties satisfactorily with reasonable accommodations.
  • Work is generally done sitting, talking, hearing, and typing. Visual acuity to use a keyboard, prepare and analyze data and figures; transcribing, viewing a computer terminal; extensive reading.

Work environment

Work is regularly performed in a combination of office and conference settings and routinely uses standard office equipment.
