Job Description

The Grants Specialist at CooperSurgical, Inc. manages the grant application process, from intake to post-event. Responsibilities include processing applications, drafting LOAs, overseeing Medical Affairs department logistics, maintaining budgets, and liaising with both healthcare providers and the marketing team. This role demands proficiency in administrative, financial, and communication tasks.

Responsibilities

  • Handle intake of all grant applications, triaging based on commercial vs. medical affairs.
  • Conduct application processing, which includes outreach to applicants for additional details and information.
  • Draft, review, and execute documentation related to grants including, Letter of Agreements (LOAs).
  • Manage packing and shipping of products associated with grants, research studies, and Medical Affairs initiatives.
  • Serve as a key point of communication between applicants and CSI employees, and coordinate CSI representation at grant events.
  • Collect post-event updates from approved grant applications.
  • Analyze grant financials and conduct Fair Market Value (FMV) assessments to ensure all transactions, agreements, and collaborations align with industry standards and compliance regulations.
  • Create and manage detailed budgets for each grant application.
  • Manage, track and process department Purchase Orders (POs)
  • Prepare bi-weekly agendas and presentations for Grant Review Committee (GRC) meetings.
  • Maintain accurate inventory of both loaned equipment and disposable medical devices.
  • Develop training kits, order products that are low in stock, and manage demonstration equipment.
  • Engage with healthcare providers as part of the Medical Affairs team, assisting in creating and processing related Healthcare Provider (HCP) invoices, and overseeing Sunshine Act Reporting.
  • Oversee and manage the overall grants budget.
  • Review and promptly approve healthcare provider requests for CooperInsights access.
  • Collaborate with the marketing department to maintain and update the CooperInsights website.

Qualifications

  • Bachelor’s degree in business administration or related field.
  • Experience in grants lifecycle and coordination, preferably within a Medical Affairs or medical device setting.
  • Familiarity with back-office procurement, inventory management systems, and grant management systems.
  • Proficiency in Sunshine Reporting, with an understanding of the regulations and compliance measures associated with transparency reporting in the medical field.
  • Familiarity with guidelines and regulations set by the FDA, AdvaMed Code of Ethics and the Code on Interactions With Health Care Professionals.
  • Analytical skills with proficiency in financial budgeting and FMV (Fair Market Value) assessment.
  • Meticulous attention to detail in documentation and reporting.
  • Strong presentation skills for effective communication in meetings.
  • Interpersonal skills for effective internal and external communication.
  • Proficiency in Microsoft Office Suite, especially Excel and PowerPoint.
  • Efficient time management and multitasking abilities.
  • Understanding of medical terminologies.
  • Data management and interpretation skills.
  • Physical Requirement: Must be able to lift up to 30 lbs.
