Tone and style

I’ve mentioned before that one of my roles at Clearleft is to be a content buddy:

If anyone is writing a talk, or a blog post, or a proposal and they want an extra pair of eyes on it, I’m there to help.

Ideally this happens in real time over video while we both have the same Google doc open:

That way, instead of just getting the suggestions, we can talk through the reasoning behind each one.

I was doing that recently with Rebecca when she was writing an announcement blog post for the Leading Design on-demand platform.

Talking through the structure, I suggested this narrative flow:

  1. Start by describing the problem from the reader’s perspective—put yourself in their shoes and enumerate their struggles. This is the part of the story where you describe the dragon in all its horrifying detail.
  2. Now show them the sword, the supernatural aid that you can hand to them. Describe the product in purely subjective terms. No need to use adjectives. Let the scale of the offering speak for itself.
  3. Then step back into the reader’s shoes and describe what life will be like after they’ve signed up and they’ve slain the dragon.
  4. Finish with the call to adventure.

I think that blog post turned out well. And we both had good fun wrangling it into shape.

Today I was working on another great blog post, this time by Luke. Alas, the content buddying couldn’t be in real time so I had to make my suggestions asynchronously.

I still like to provide some reasoning for my changes, so I scattered comments throughout. I was also able to refer to something I put together a little while back…

Here’s the Clearleft tone of voice and style guide document.

I tried to keep it as short as possible. There’s always a danger that the style guide section in particular could grow and grow, so I kept to specific things that have come up in actual usage.

I hadn’t looked at it in a while so I was able to see it with somewhat fresh eyes today. Inevitably I spotted some things that could be better. But overall, I think it’s pretty good.

It’s just for internal use at Clearleft, but rather than have it live in a Google Drive or Dropbox folder, I figured it would be easier to refer to it with a URL. And we’ve always liked sharing our processes openly. So even though it’s probably of no interest to anyone outside of Clearleft, here it is: toneofvoice.clearleft.com

Innovation

I did an episode of the Clearleft podcast on innovation a while back:

Everyone wants to be innovative …but no one wants to take risks.

The word innovation is often bandied about in an unquestioned positive way. But if we acknowledge that innovation is—by definition—risky, then the exhortations sound less positive.

“We provide innovative solutions for businesses!” becomes “We provide risky solutions for businesses!”

I was reminded of this when I saw the website for the Podcast Standards Project. The original text on the website described the project as:

…a grassroots coalition working to establish modern, open standards, to enable innovation in the podcast industry.

I pushed back on that wording (partly because I’ve seen the word “innovation” used as a smoke screen for user-hostile practices like tracking and surveillance). The wording has since changed to:

…a grassroots coalition dedicated to creating standards and practices that improve the open podcasting ecosystem for both listeners and creators.

That’s better. It’s more precise.

Am I nitpicking? Only if you think that “innovation” and “improvement” are synonyms. I don’t think they are.

Innovation implies change. Improvement implies positive change.

Not all change is positive. Not all innovation is positive.

Innovation goes hand in hand with disruption. Again, disruption involves change. But not necessarily positive change.

Think about the antonyms of change and disruption: stasis and stability. Those words don’t sound very exciting, but in some arenas they’re exactly what you should be aiming for; arenas like infrastructure or standards.

Not to get all pace layers-y here, but it seems to me that every endeavour has a sweet spot for innovation. For some projects, too little innovation is bad. For others, too much innovation is worse.

The trick is knowing which kind of project you’re working on.

(As a side note, I think some people use the word innovation to describe the generative, divergent phase of a design project: “how might we come up with innovative new approaches?” But we already have a word to describe the practice of generating novel and interesting ideas. That word isn’t innovation. It’s creativity.)

Just Simply | Stop saying how simple things are in our docs

If someone’s been driven to Google something you’ve written, they’re stuck. Being stuck is, to one degree or another, upsetting and annoying. So try not to make them feel worse by telling them how straightforward they should be finding it. It gets in the way of them learning what you want them to learn.

As a writer, it’s really helpful to understand the why of each edit. It’s easier to re-write if you know precisely what the problem is. And often, it’s less bruising to the ego. It’s not that you’re a bad writer, but just that one particular thing could be expressed more simply, or more clearly, than your first effort.

Content buddy

One of my roles at Clearleft is “content buddy.” If anyone is writing a talk, or a blog post, or a proposal and they want an extra pair of eyes on it, I’m there to help.

Sometimes a colleague will send a link to a Google Doc where they’ve written an article. I can then go through it and suggest changes. Using the “suggest” mode rather than the “edit” mode in Google Docs means that they can accept or reject each suggestion later.

But what works better—and is far more fun—is if we arrange to have a video call while we both have the Google Doc open in our browsers. That way, instead of just getting the suggestions, we can talk through the reasoning behind each one. It feels more like teaching them to fish instead of giving them a grammatically correct fish.

Some of the suggestions are very minor; punctuation, capitalisation, stuff like that. Where it gets really interesting is trying to figure out and explain why some sentence constructions feel better than others.

A fairly straightforward example is long sentences. Not all long sentences are bad, but the longer a sentence gets, the more it runs the risk of overwhelming the reader. So if there’s an opportunity to split one long sentence into two shorter sentences, I’ll usually recommend that.

Here’s an example from Chris’s post, Delivering training remotely – the same yet different. The original sentence read:

I recently had the privilege of running some training sessions on product design and research techniques with the design team at Duck Duck Go.

There’s nothing wrong with that. But maybe this is a little easier to digest:

I recently had the privilege of running some training sessions with the design team at Duck Duck Go. We covered product design and research techniques.

Perhaps this is kind of like the single responsibility principle in programming. Whereas the initial version was one sentence that conveyed two pieces of information (who the training was with and what the training covered), the final version has a separate sentence for each piece of information.

I wouldn’t take that idea too far though. Otherwise you’d end up with something quite stilted and robotic.

Speaking of sounding robotic, I’ve noticed that people sometimes avoid using contractions when they’re writing online: “there is” instead of “there’s” or “I am” instead of “I’m.” Avoiding contractions seems to be more professional, but actually it makes the writing a bit too formal. There’s a danger of sounding like a legal contract. Or a Vulcan.

Sometimes a long sentence can’t be broken down into shorter sentences. In that case, I watch out for how much cognitive load the sentence is doling out to the reader.

Here’s an example from Maite’s post, How to engage the right people when recruiting in house for research. One sentence initially read:

The relevance of the people you invite to participate in a study and the information they provide have a great impact on the quality of the insights that you get.

The verb comes quite late there. As a reader, until I get to “have a great impact”, I have to keep track of everything up to that point. Here’s a rephrased version:

The quality of the insights that you get depends on the relevance of the people you invite to participate in a study and the information they provide.

Okay, there are two changes there. First of all, the verb is now “depends on” instead of “have a great impact on.” I think that’s a bit clearer. Secondly, the verb comes sooner. Now I only have to keep track of the words up until “depends on”. After that, I can flush my memory buffer.

Here’s another changed sentence from the same article. The initial sentence read:

You will have to communicate at different times and for different reasons with your research participants.

I suggested changing that to:

You will have to communicate with your research participants at different times and for different reasons.

To be honest, I find it hard to explain why that second version flows better. I think it’s related to the idea of reducing dependencies. The subject “your research participants” is dependent on the verb “to communicate with.” So it makes more sense to keep them together instead of putting a subclause between them. The subclause can go afterwards instead: “at different times and for different reasons.”

Here’s one final example from Katie’s post, Service Designers don’t design services, we all do. One sentence initially read:

Understanding the relationships between these moments, digital and non-digital, and designing across and between these moments is key to creating a compelling user experience.

That sentence could be broken into shorter sentences, but it might lose some impact. Still, it can be rephrased so the reader doesn’t have to do as much work. As it stands, until the reader gets to “is key to creating”, they have to keep track of everything before that. It’s like the feeling of copying and pasting. If you copy something to the clipboard, you want to paste it as soon as possible. The longer you have to hold onto it, the more uncomfortable it feels.

So here’s the reworked version:

The key to creating a compelling user experience is understanding the relationships between these moments, digital and non-digital, and designing across and between these moments.

As a reader, I can digest and discard each of these pieces in turn:

  1. The key to creating a compelling user experience is…
  2. understanding the relationships between these moments…
  3. digital and non-digital…
  4. and…
  5. designing across and between these moments.

Maybe I should’ve suggested “between these digital and non-digital moments” instead of “between these moments, digital and non-digital”. But then I worry that I’m intruding on the author’s style too much. With the finished sentence, it still feels like a rousing rallying cry in Katie’s voice, but slightly adjusted to flow a little easier.

I must say, I really, really enjoy being a content buddy. I know the word “editor” would be the usual descriptor, but I like how unintimidating “content buddy” sounds.

I am almost certainly a terrible content buddy to myself. Just as I ignore my own advice about preparing conference talks, I’m sure I go against my own editorial advice every time I blurt out a blog post here. But there’s one piece I’ve given to others that I try to stick to: write like you speak.

In the zone

I went to art college in my younger days. It didn’t take. I wasn’t very good and I didn’t work hard. So I dropped out before they could kick me out.

But I remember one instance where I actually ended up putting in more work than my fellow students—an exceptional situation.

In the first year of art college, we did a foundation course. That’s when you try a bit of everything to help you figure out what you want to concentrate on: painting, sculpture, ceramics, printing, photography, and so on. It was a bit of a whirlwind, which was generally a good thing. If you realised you really didn’t like a subject, you didn’t have to stick it out for long.

One of those subjects was animation—a relatively recent addition to the roster. On the first day, the tutor gave everyone a pack of typing paper: 500 sheets of A4. We were told to use them to make a piece of animation. Put something on the first piece of paper. Take a picture. Now put something slightly different on the second piece of paper. Take a picture of that. Repeat another 498 times. At 24 frames a second, the result would be just over 20 seconds of animation. No computers, no mobile phones. Everything by hand. It was so tedious.

And I loved it. I ended up asking for more paper.

(Actually, this was another reason why I ended up dropping out. I really, really enjoyed animation but I wasn’t able to major in it—I could only take it as a minor.)

I remember getting totally absorbed in the production. It was the perfect mix of tedium and creativity. My mind was simultaneously occupied and wandering free.

Recently I’ve been re-experiencing that same feeling. This time, it’s not in the world of visuals, but of audio. I’m working on season two of the Clearleft podcast.

For both seasons and episodes, this is what the process looks like:

  1. Decide on topics. This will come from a mix of talking to Alex, discussing work with my colleagues, and gut feelings about what might be interesting.
  2. Gather material. This involves arranging interviews with people; sometimes co-workers, sometimes peers in the wider industry. I also trawl through the archives of talks from Clearleft conferences for relevent presentations.
  3. Assemble the material. This is where I’m chipping away at the marble of audio interviews to get at the nuggets within. I play around with the flow of themes, trying different juxtapositions and narrative structures.
  4. Tie everything together. I add my own voice to introduce the topic and segue from point to point.
  5. Release. I upload the audio, update the RSS feed, and publish the transcript.

Lots of podcasts (that I really enjoy) stop at step two: record a conversation and then release it verbatim. Job done.

Being a glutton for punishment, I wanted to do more of an amalgamation for each episode, weaving multiple conversations together.

Right now I’m in step three. That’s where I’ve found the same sweet spot that I had back in my art college days. It’s somewhat mindless work, snipping audio waveforms and adjusting volume levels. At the same time, there’s the creativity of putting those audio snippets into a logical order. I find myself getting into the zone, losing track of time. It’s the same kind of flow state you get from just the right level of coding or design work. Normally this kind of work lends itself to having some background music, but that’s not an option with podcast editing. I’ve got my headphones on, but my ears are busy.

I imagine that is what life is like for an audio engineer or producer.

When I first started the Clearleft podcast, I thought I would need to use GarageBand for this work, arranging multiple tracks on a timeline. Then I discovered Descript. It’s been an enormous time-saver. It’s like having GarageBand and a text editor merged into one. I can see the narrative flow as a text document, as well as looking at the accompanying waveforms.

Descript isn’t perfect. The transcription accuracy is good enough to allow me to search through my corpus of material, but it’s not accurate enough to publish as is. Still, it gives me some nice shortcuts. I can elimate ums and ahs in one stroke, or shorten any gaps that are too long.

But even with all those conveniences, this is still time-consuming work. If I spend three or four hours with my head down sculpting some audio and I get anything close to five minutes worth of usable content, I consider it time well spent.

Sometimes when I’m knee-deep in a piece of audio, trimming and arranging it just so to make a sentence flow just right, there’s a voice in the back of my head that says, “You know that no one is ever going to notice any of this, don’t you?” I try to ignore that voice. I mean, I know the voice is right, but I still think it’s worth doing all this fine tuning. Even if nobody else knows, I’ll have the satisfaction of transforming the raw audio into something a bit more polished.

Design systems on the Clearleft podcast

If you’ve already subscribed to the Clearleft podcast, thank you! The first episode is sliding into your podcast player of choice.

This episode is all about …design systems!

I’m pretty happy with how this one turned out, although as it’s the first one, I’m sure I’ll learn how to do this better. I may end up looking back at this first foray with embarrassment. Still, it’s fairly representative of what you can expect from the rest of the season.

This episode is fairly short. Just under eighteen minutes. That doesn’t mean that other episodes will be the same length. Each episode will be as long (or as short) as it needs to be. Form follows function, or in this case, episode length follows content. Other episodes will be longer. Some might be shorter. It all depends on the narrative.

This flies in the face of accepted wisdom when it comes to podcasting. The watchword that’s repeated again and again for aspiring podcasters is consistency. Release on a consistent schedule and have a consistent length for episodes. I kind of want to go against that advice just out of sheer obstinancy. If I end up releasing episodes on a regular schedule, treat it as coincidence rather than consistency.

There’s not much of me in this episode. And there won’t be much of me in most episodes. I’m just there to thread together the smart soundbites coming from other people. In this episode, the talking heads are my colleagues Jon and James, along with my friends and peers Charlotte, Paul, and Amy (although there’s a Clearleft connection with all of them: Charlotte and Paul used to be Clearlefties, and Amy spoke at Patterns Day and Sofa Conf).

I spoke to each of them for about an hour, but like I said, the entire episode is less than eighteen minutes long. The majority of our conversations ended up on the cutting room floor (possibly to be used in future episodes).

Most of my time was spent on editing. It was painstaking, but rewarding. There’s a real pleasure to be had in juxtaposing two snippets of audio, either because they echo one another or because they completely contradict one another. This episode has a few examples of contradictions, and I think those are my favourite moments.

Needless to say, eighteen minutes was not enough time to cover everything about design systems. Quite the opposite. It’s barely an introduction. This is definitely a topic that I’ll be returning to. Maybe there could even be a whole season on design systems. Let me know what you think.

Oh, and you’ll notice that there’s a transcript for the episode. That’s a no-brainer. I’m a big fan of the spoken word, but it really comes alive when it’s combined with searchable, linkable, accessible text.

Announcing the Clearleft podcast

I’ve been working on something new for the past few months and now I’d like to share it with you…

The Clearleft Podcast.

Now I know what you’re thinking: aren’t there enough podcasts in the world already? Well, frankly, no. Unless you also concede that there are enough books and records and films in the world already too (to be fair, this is a reasonable thought to have when you’re navigating Amazon, Spotify, and Netflix).

In any case, this podcast is going to be a bit different.

In our field, the usual podcast format is in the form of a conversation: a host or hosts interviewing a guest or guests. Those are great. I’ve certainly enjoyed being the guest on many a great podcast. But I wanted to do something a bit more like an audio documentary.

If you’ve seen a lot of documentaries you’ll know that there are two key factors to getting a great story:

  1. the source material and
  2. the editing.

That’s what makes the Clearleft podcast different.

For the source material, I’ve interviewed my colleagues at Clearleft as well as our peers in other companies. I’ve also gathered great material from conference talks—we’ve got a wealth of wonderful insights from multiple editions of events like UX London, Leading Design, Ampersand, Responsive Day Out, Patterns Day, and dConstruct.

A lot of work has gone into the editing. It probably works out at about an hour of work per minute of podcast. I know that seems excessive, but I really wanted to get a snappy feel for each episode, juxtaposing multiple viewpoints.

The focus of the episode will be around a particular topic rather than a person and will feature lots of different voices woven together. The really challenging part is threading a good narrative. It’s kind of like preparing a conference talk in that respect—I’ve always found the narrative thread to be the hardest but most rewarding part of putting a talk together.

It’s simultaneously exciting and nerve-wracking to put this out into the world. But I think you’re going to enjoy it.

I found myself needing to open some old Photoshop files recently, but I haven’t had Photoshop installed on my computer for years (not since Adobe moved to the Mafia pricing model). It turns out there’s an online recreation of Photoshop!

I remember when this was literally the example people would give for the limitations of the web: “Well, you can’t build something like Photoshop in the browser…”

WorldWideWeb

Nine people came together at CERN for five days and made something amazing. I still can’t quite believe it.

Coming into this, I thought it was hugely ambitious to try to not only recreate the experience of using the first ever web browser (called WorldWideWeb, later Nexus), but to also try to document the historical context of the time. Now that it’s all done, I’m somewhat astounded that we managed to achieve both.

Behold! A simulation of using the first ever web browser, recreated inside your web browser.

Now you could try clicking around on the links on the opening doucment—remembering that you need to double-click on links to activate them—but you’ll quickly find that most of them don’t work. They’re long gone. So it’s probably going to be more fun to open a new page to use as your starting point. Here’s how you do that:

  1. Select Document from the menu options on the left.
  2. A new menu will pop open. Select Open from full document reference.
  3. Type a URL, like, say https://adactio.com
  4. Press that lovely chunky Open button.

You are now surfing the web through a decades-old interface. Double click on a link to open it. You’ll notice that it opens in a new window. You’ll also notice that there’s no way of seeing the current URL. Back then, the idea was that you would navigate primarily by clicking on links, creating your own “associative trails”, as first envisioned by Vannevar Bush.

But the WorldWideWeb application wasn’t just a browser. It was a Hypermedia Browser/Editor.

  1. From that Document menu you opened, select New file…
  2. Type the name of your file; something like test.html
  3. Start editing the heading and the text.
  4. In the main WorldWideWeb menu, select Links.
  5. Now focus the window with the document you opened earlier (adactio.com).
  6. With that window’s title bar in focus, choose Mark all from the Links menu.
  7. Go back to your test.html document, and highlight a piece of text.
  8. With that text highlighted, click on Link to marked from the Links menu.

If you want, you can even save the hypertext document you created. Under the Document menu there’s an option to Save a copy offline (this is the one place where the wording of the menu item isn’t exactly what was in the original WorldWideWeb application). Save the file so you can open it up in a text editor and see what the markup would’ve looked it.

I don’t know about you, but I find this utterly immersive and fascinating. Imagine what it must’ve been like to browse, create, and edit like this. Hypertext existed before the web, but it was confined to your local hard drive. Here, for the first time, you could create links across networks!

After five days time-travelling back thirty years, I have a new-found appreciation for what Tim Berners-Lee created. But equally, I’m in awe of what my friends created thirty years later.

Remy did all the JavaScript for the recreated browser …in just five days!

Kimberly was absolutely amazing, diving deep into the original source code of the application on the NeXT machine we borrowed. She uncovered some real gems.

Of course Mark wanted to make sure the font was as accurate as possible. He and Brian went down quite a rabbit hole, and with remote help from David Jonathan Ross, they ended up recreating entire families of fonts.

John exhaustively documented UI patterns that Angela turned into marvelous HTML and CSS.

Through it all, Craig and Martin put together the accomanying website. Personally, I think the website is freaking awesome—it’s packed with fascinating information! Check out the family tree of browsers that Craig made.
