A PA/project manager/marketing specialist is totally realistic on 2 days a week for £250 a day, right? RIGHT? If you've never had this conversation, then you've never worked in a small, fast moving company. I have. I started my career as the junior with a miles-long job title and a to-do list to match. Since then I've built my own tiny teams and grown companies. Small teams can achieve amazing impact, but not with panicked hiring and impossible job descriptions. I get it. Recruiting is tough. Recruiting into a small team is even tougher. And it will probably fall on you because you don't have a hiring department yet. Or a HR person. Or really, any time to think through a decent hiring process. What you do have though, is a very long list of things that are not being done. And sometimes this list becomes the job description. Before you pull together your mission-impossible JD, stop. You don't want to spend precious time on a pointless recruitment round and a bad hire. Some things to consider: 🛑 Do you need one person to do all the things? - Do you have skills gaps? ---> who can you upskill in your existing team? - Is it a capacity issues or a productivity issue? ---> Where are your bottlenecks? What can you automate? 🛑 Ask yourself what this person needs to achieve for the company, not just what they will 'be doing'. This helps you to edit and brings clarity + focus. 🛑 If you need someone with experience and you realistically have the budget, go for it. 🛑 If you are happy to hire and develop a junior, then you need to be realistic about what you will expect from them in the first six months (and the impact on team capacity). Don't waste your precious time on a quick (bad) hire. Executive Administrative Partner | Open to roles as Executive Assistant, Chief of Staff, Operations Manager
You don't need to be a linguist to see that employers have completely lost the plot when it comes to describing roles. Case in point, a job posting I just came across: "We are seeking a highly skilled Entry Level PMO Consultant with capital markets and investment banking experience to join our team and support our client in organizing and managing their projects effectively. The ideal candidate will have extensive experience in project management methodologies and tools, particularly Jira, to streamline processes and ensure project success." I was willing to give them the benefit of the doubt even when I read "highly skilled entry level" because I thought maybe they were looking for a more seasoned person who is transitioning into PMO, but the second sentence really clinches the fact that the words "entry level" are no longer comprehended by this company. Listen up folks. "Entry Level" means NO experience. Not a proven track record, not 5 years experience, not a previous job with the same title. Entry level means they enter your company and learn how to do the job. If that's not what you're looking for, don't use the term. That also goes for things like 'remote', 'hybrid', 'work/life balance', as well. I can't tell you the hundreds of job postings I've read through that have been tagged and advertised as remote, only to find a line that says the role needs to be in the office three days a week or once a week or EVERY DAY. That's. Not. Remote. Don't just add terms you don't mean in an attempt to coerce some algorithm to put your posting in front of the maximum number of people; ESPECIALLY don't do that and then complain that you're not getting the candidates you want. There are hundreds of thousands of people looking for work; if you just accurately describe the expectations, responsibilities, and wage range for the role, you'll get a much more refined candidate pool of people who are looking for that type of job.

Before you decide against hiring new talent for your project, consider the long-term value and impact an SME can bring. But we have 3 tech stack recommendations to make your job easier: 1) Calendly/Chili Piper for scheduling You’ll probably need to play around a bit and create entries based on criticality, scheduling tools are life savers when you need to talk to so many people at the same time. Plus, it makes it easier to schedule consistent breaks to keep you refreshed. 2) Notion/ClickUp/Asana for prioritization and notes Different roles require different timeframes to fill, and some are more urgent than others. It’s easier to keep track of that with a project management tool, and all of these also offer a free version. You can also keep your interview notes here and manage your talent pipeline. 3) Zapier for automation This app connects different tools and automates repetitive tasks, like interview confirmation emails for example.
