POSITION SUMMARY

The duties and responsibilities of a Senior Event Operations Manager centers on planning and running events of varying sizes and purposes. They must understand what it takes to ensure event logistics are flawlessly executed, maintain costs within the allocated budget, and confirm that the event is carried out smoothly.

This individual is required to network with a wide variety of entities including vendors, venues, and an entire staff in order for an event to function properly. They will also be responsible for keeping costs within the allocated budget, which requires a degree of financial acumen. An ideal candidate will demonstrate proficiency in logistics to properly plan the details, track progress, measure results, and adapt quickly as changes arise.

OBJECTIVES

  • Create effective negotiating relationships with Vendors to ensure strategic logistical event planning to remain in budget
  • Oversee Events inbox to address and offer additional support to all client questions regarding the upcoming event(s)
  • Process all event budget and travel reconciliations with corresponding events
  • Audit guest attendance based on information from both Sales and Finance departments
  • Provide white glove customer satisfaction throughout the entirety of event process from registration check-in through to VIP dinner(s)
  • Create monthly P&L projections, reporting, and analysis to duplicate event success
  • Oversee inventory management pertaining to all event collateral
  • Conduct event research and development for new concepts, venues, activations, etc.
  • Innovate all processes and implementation to ensure best practices are in compliance with event procedures and policy.
  • Room Block Management for clients and teammates
  • Deploy Team Attendance Needed Emails on time
  • Manage budget expenses and communicate budget status to leadership on a regular basis


COMPETENCIES

  • Possess strong financial acumen to allocate numerical values to generate event overview
  • Ability to navigate complex spreadsheets for budgets and trackers
  • Ability to negotiate contracts and identify any discrepancies or areas of opportunity to meet budget needs
  • Knowledge of industry standards & costs in terms of venues, flights, F&B..etc.
  • Knowledge of Accounts Receivable to reconcile post-event payments
  • Ability to manage a high volume inbox to facilitate and direct questions to the correct stakeholder
  • Understand revenue numbers, targets for annual growth to structure events based on those targets


EDUCATION AND EXPERIENCE

  • At least 2 years’ Event Management experience
  • Degree in Hospitality Management or relevant field is preferred


PHYSICAL REQUIREMENTS

  • Prolonged periods sitting at a desk and working on a computer
  • Weekend availability - up to 50%
