About The Position
The Senior Project Manager of Events & Programs leads the project management, event programming and production of Greenlining’s Just Future Summit , our signature multi-day semi-annual conference attracting an audience of over 1000+ attendees to grow our statewide and national audience, amplify our policy advocacy profile and expand engagement with community stakeholders. This role will also be responsible for the production of other small-scale signature events including our Leadership Academy graduation and donor-focused events. Reporting to and partnering with the VP of Development and Communications, the Senior Project Manager of Events & Programs will project manage and facilitate a cross-functional team at Greenlining and external event consultants to successfully execute event programming and production.
MAJOR AREAS OF RESPONSIBILITY
Drive project management for key organizational events
Direct the project management and programming design of Greenlining’s Just Future Summit that advances the dialogue on racial equity and Greenlining’s signature policy issues across diverse audiences
Manage internal staff process for the development of Summit programming including main stage speakers/conversation, breakout sessions, networking, and attendee engagement with internal staff team that reflect Greenlining’s policy work, values and strategic plan that also tap timely regional, statewide, and national conversations on racial and economic equity
Lead the project management of all event components, engaging all stakeholders through a clear and collaborative process including on-site and day-of management and coordination
Work closely with the Communications team to engage, maintain, and grow attendee audience for the Just Future Summit
Collaborate closely with the Communications team to improve Greenlining’s brand positioning
Manage external event consultant and relationships and contracts with event vendors, speakers, and community partners
Explore and use emerging event technologies (e.g. Cvent) to continually improve attendee experience
Direct the planning and execution of other signature events such as the Leadership Academy graduation and donor engagement events
Maintain tracking and documentation of event-related activities, including meeting minutes, planning and logistics documents, event analytics, etc.
Staff Leadership & Management
Directly responsible for managing a team of staff, volunteers, and consultants to execute the program production
Supervise at least one program coordinator to execute team goals
Carries out supervisory duties consistent with Greenlining’s policies and applicable employment laws
Fundraising and Financial Management
Manage the event and project budgets to ensure organizational and programmatic needs are met while operating within legal and budget parameters
Work in partnership with the Development team to secure sponsorship funding for Summit and other events
Qualifications, Skills And Abilities
2+ years of experience in organizational event planning
Bachelor’s Degree from an accredited college or university or equivalent combination of education and relevant experience
Experience with logistics planning and all aspects of event production including hotel and venue selection, vendor management, and other key details.
Strong understanding of racial justice issues and commitment to championing causes that serve low-income communities and communities of color
Demonstrated excellence in project management, planning, organization, and proactive problem-solving
Excellent verbal and written communication skills and the ability to confidently speak and represent the organization with an external audience
Excellent facilitation skills, with demonstrated interpersonal skills including flexibility and the ability to listen, negotiate and collaborate with various stakeholders
Ability to work independently and be both creative and strategic when confronted with complex and multifaceted opportunities and challenges
A positive attitude, compassion, and strong team-oriented work ethic
Must be able to stand and walk for long periods of time during events. Must be able to lift up to 25 pounds at times. Must be able to work a variety of hours in order to accommodate events.
Adept at the use of technology, e.g. Slack, Asana, Salesforce, Cvent, Google Apps, Microsoft Office, especially Word and Excel
Ability to evaluate existing systems and develop and implement improvements
Ability and willingness to travel, as needed, to meetings and conferences throughout the state and possibly other locations
Position reports to VP of Development and Communications and is classified as Salaried, Exempt (FLSA).
The scope of responsibilities is not limited to those listed above and may change as organizational needs evolve. Specific work plan goals are developed each year to inform performance targets.
