WORK SCHEDULE


  • 100% FTE – 40 hours per week
  • Day Shift – UW MEDICINE ITS SERVICES CORE HOURS ARE 07:00 – 16:00 (PST), Monday-Friday POSITION HIGHLIGHTS
  • Airlift enterprise, senior level position.
  • Establish enterprise level programs and provide on-going management of those programs.
  • Two major programs include its Project Management Office (PMO) ensuring alignment with UW Medicine’s and ITS PMO offices and its Base Location Program including establishment of the strategic roadmap for existing and future base locations.
  • This position is responsible for project management duties for ALNW’s enterprise level strategic projects.Four major strategic projects ALNW has initiated include its 1) EHR vendor assessment and close collaboration with EPIC in the development of an EHR module and integrations for the air medical evacuation industry, 2) the transition of ALNW fixed wing aircraft vendor from AeroAir to Air Methods and to GMR in Alaska, 3) implementation & integration of FAA approved wireless capabilities in the aircraft with ALNW’s network and systems and 4) the implementation of the University’s Project FT at ALNW which includes all new workflows for finance and procurement functions. DEPARTMENT DESCRIPTION UW Medicine IT Services (ITS) is a shared services organization that supports all of UW Medicine. UW Medicine is comprised of Harborview Medical Center (HMC), UW Medical Center-Montlake Campus (UWMC-Montlake), UW Medical Center-Northwest Campus (UWMC-NW), Valley Medical Center (VMC), UW Neighborhood Clinics (UWNC), UW Physicians (UWP), UW School of Medicine (SOM), and Airlift Northwest (ALNW). In addition, UW Medicine shares in the ownership and governance of Children’s University Medical Group and Seattle Cancer Care Alliance (a partnership between UW Medicine, Fred Hutchinson Cancer Research, and Seattle Children’s). ITS is responsible for the ongoing support and maintenance of the infrastructure and applications which support all these institutions, along with the implementation of new services and applications that are used to support and further the UW Medicine mission.

Airlift Northwest is the premier air ambulance service in the Pacific Northwest and Southeast Alaska with multistate operations including Wyoming, Montana, Idaho, and Alaska. Airlift has ten locations throughout Washington and Alaska. It is a not-for-profit entity of UW Medicine, and its employees support the mission of the University of Washington and UW Medicine.


Primary Job Responsibilities


  • You develop, implement, and oversee a Project Management Office for ALNW including all processes and systems needed to support ALNW’s project portfolio to effectively manage incoming and active projects.
  • You establish practices, templates, policies, tools, and partnerships to expand and mature the PMO capabilities for the organization.
  • You establish the roadmap for ALNW base facilities, oversight of the ALNW base facilities program.
  • You identify and manage organization-wide program and project impacts to ensure alignment with enterprise strategic goals.
  • You manage all aspects of multiple related projects to ensure the overall program is aligned to and directly supports the achievement of strategic objectives.
  • You work closely with ALNW’s Executive Director on special projects and/or initiatives, supporting the implementation of ALNW’s strategic initiatives.
  • You ensure that projects and programs are proceeding according to scope, schedule, budget, and quality standards.
  • You develop and manage all aspects of project and program engagement from planning, external vendor relationships, communications, resources, budget, change, risks, and issues.
  • You play a critical role in implementation of ALNW’s long-term strategic and programmatic plans, ensuring those plans are met.
  • You develop, with leadership, KPIs for projects, programs, and/or portfolios. REQUIRED QUALIFICATIONS
  • Bachelor's degree in Business, Administration, Health, or related field.
  • 10+ years’ experience must include the below.
  • 10+ years of experience serving in program and project leadership role with responsibility for managing progressively more complicated, multi-entity integrated programs and enterprise level projects.
  • Strong experience in establishment of formal programs and on-going management of those programs.
  • Extensive understanding of project and program management principles, methods and techniques.
  • 7+ years of recent experience utilizing MS Project to manage projects
  • PMP certification; if not currently PMP certified, this certification must be achieved within six months of start date
  • Minimum of 5+ years of management level experience.
  • Strong experience presenting to executive sponsors and demonstrated communication skills, both written and oral with technical and non-technical staff, all levels of management
  • Demonstrated and strong experience in managing, leading, and facilitating cross-functional, cross organizational work groups to implement projects or organizational changes.
  • Strong experience in successfully leading projects to on-time, on-schedule and within budget close
  • Strong leadership, diplomatic, and motivational skills including the ability to lead up, across, and down multiple business and technology organizations/business units.
  • Demonstrated experience effectively working with multiple, diverse stakeholders in a complex environment within a cross-functional matrix environment.
  • Demonstrated experience managing project work and/or work of others within an established standard project lifecycle framework
  • Experience drafting and submitting budget proposals and recommending subsequent budget changes where necessary
  • Experience maintaining relationships by engaging business leaders to establish credibility, solve problems, build consensus, and achieve objectives
  • Experience influencing and gaining buy-in from executives, sponsors, team members, stakeholders and peers.
  • Understanding of ethics in the public sector. CONDITIONS OF EMPLOYMENT
  • This is an Information Technology deadline-driven work environment.
  • The individual in this position is expected to work normal daytime hours. The work may be performed in either an office environment or by telecommuting with manager approval, during normal business hours; however, significant off-hours and weekends may be needed to resolve problems and respond to emergencies. This individual is expected to be available for emergencies (business continuity/disaster recovery efforts) on a 24x7 basis as needed.
  • Must coordinate projects without direct supervisory authority.
  • Must work within the constraints of multiple technical environments.
  • The individual in this position must learn many organizational structures and cultures and continually foster collaboration.
  • Ability to communicate effectively in English, both verbally and in writing.
