Position Summary: The Operations Manager for Home Health Services will lead the charge in optimizing and streamlining our critical operational areas: supplies, physician orders, Durable Medical Equipment (DME), medical records, and rehospitalization tracking. Your role will be pivotal in upholding the highest standards of patient care and driving operational excellence. This is a multisite manager who oversees operations primarily at our Oakland location, with additional responsibilities at our offices in San Jose, Burlingame, and Fairfield. This position requires frequent travel between these locations, for which mileage reimbursement is provided.

Essential Duties and Responsibilities:

Supplies Management:

  • Oversee the inventory management system to ensure a consistent supply of necessary medical and office supplies.
  • Ensures that medical supply orders are processed timely and accurately to avoid patient care disruptions.
  • Coordinate with vendors and suppliers to procure high-quality materials at cost-effective prices.
  • Implement and monitor processes for tracking and managing supply orders to prevent shortages or overstocking.

Physician Orders Management:

  • Oversee the end-to-end process of physician orders, ensuring accuracy, timeliness, and compliance with all regulatory requirements.
  • Develop and implement standard operating procedures (SOPs) for processing physician orders.
  • Monitor the workflow and workload of staff involved in order processing to ensure optimal productivity and efficiency.
  • Collaborate with physicians, nursing staff, and administrative teams to resolve any issues related to physician orders.
  • Ensure all physician orders are documented accurately in the electronic health record (EHR) system.

Durable Medical Equipment (DME) Oversight:

  • Manage the acquisition, maintenance, and timely distribution of Durable Medical Equipment.
  • Ensure all DME complies with regulatory standards and is properly sanitized and maintained.
  • Coordinate with clinical staff to ensure timely delivery and setup of DME for patients.

Medical Records Management:

  • Ensure all patient records are accurately maintained, securely stored, and easily accessible to authorized personnel.
  • Implement electronic health record (EHR) systems and ensure compliance with HIPAA and other relevant regulations.
  • Oversee the timely and accurate documentation and filing of patient information.

Tracking Rehospitalizations:

  • Develop and implement systems for tracking patient rehospitalizations.
  • Analyze data to identify trends and develop strategies to reduce rehospitalization rates.
  • Collaborate with clinical staff to ensure post-discharge follow-up and continuity of care.

Team Leadership and Development:

  • Supervise and mentor the operations team, providing guidance and support to ensure high performance.
  • Conduct regular performance evaluations and provide opportunities for professional development.
  • Foster a collaborative and positive work environment.
  • Responsible for managing direct reports across multiple office locations, with regular travel required to each site to maintain strong working relationships and conduct onsite observations

Process Improvement:

  • Continuously evaluate operational processes and identify areas for improvement.
  • Implement best practices and innovative solutions to enhance efficiency and quality of service.
  • Stay updated with industry trends and regulatory changes to ensure compliance and operational excellence.

Reporting and Communication:

  • Prepare and present regular reports on operational performance to senior management.
  • Facilitate effective communication between departments to ensure cohesive and efficient operations.
  • Address any operational issues promptly and effectively.

  • Industry leading compensation
  • Mileage paid at the federal rate of $.655
  • Paid parking and bridge tolls
  • Compensation is determined by the following factors; experience, knowledge, skills, location, as well as internal equity and alignment with market data.

Compensation:

  • Starting salary will range from $90,000 to $100,000
  • This position is eligible for an annual bonus of up to 5% of base compensation.
  • Compensation is determined by the following factors; experience, knowledge, skills, location, as well as internal equity and alignment with market data.

Requirements

  • Bachelor's degree in Healthcare Administration, Business Administration, or related field desired
  • Minimum of 5 years of experience in healthcare operations, preferably in a home health setting.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Proficiency in EHR systems and Google Suite.
  • Familiarity with regulatory requirements, HIPAA compliance, and healthcare industry standards.
