Our client, located in Frisco, is looking for an Executive Assistant to join their team on a contract-to-hire basis.
This role is 100% onsite and requires recent experience as an Executive Assistant.
Key Qualifications
We are looking for an experienced Administrative professional with at least 5 years of experience.
Candidates must be smart, nice, self-motivated, and self-starting.
Must be savvy with the MS Suites:
Must be extremely proficient in Word and able to create tables and reports.
Must be strong in Adobe and able to edit and create PDFs.
Must have a working knowledge of PowerPoint and able to update / edit PowerPoints.
Must be familiar with Excel.
Key Duties
Will coordination international and domestic travel.
Will set up and coordinate meetings.
Attend networking events - this will involve some very light travel a handful of times a year to Houston.
Additional Duties
Administrative support for such tasks as copying, typing, shredding, scanning, binding presentations, etc. for engineering staff, as needed – electronic and hard copy format.
Creating and managing electron filing and hard copy administration records for business operations.
Order office supplies, and other miscellaneous non-asset type purchases.
Place catering orders for office meetings and trainings courses and other office events; setup and clean-up.
Assist other administrative and engineering staff with projects as needed.
Act in backup capacity for review and edit spelling, formatting, structure, and tables in reports and proposals.
Other Miscellaneous administrative support as needed such as entertainment reservations, meeting preparation support, etc.
General administrative support for Marketing and Events such as conferences and conventions where the company has presentation booths, both onsite and offsite.
Travel reservations and coordination of all incoming and outgoing travel needs of not just company staff but visitors and clients as well.
Custodian and monitor of corporate “contact us” email account. Respond to and direct inquiries to appropriate routing and follow up.
Administrator of company social media account such as LinkedIn, Instagram.
Coordinate and administrate printing and media for marketing and other types of presentation forums.
Additional Qualifications
High School Diploma or GED; post high school education and/or professional training preferred.
Minimum 5 years of previous relevant administrative support experience required.
Required knowledge and experience with Microsoft 365 software applications:
Must be proficient in Word
Must be proficient in Outlook
Must be very knowledgeable in Excel
Must be knowledgeable in PowerPoint
Must be very knowledgeable in Adobe Acrobat beyond just familiar with PDF format
Strong attention to detail.
Ability to work with all levels of people within the organization.
Ability to display a professional office demeanor and business etiquette.
Ability to maintain confidentiality.
Strong written and verbal communication skills.
Willingness and ability to learn new technology applicable to assigned tasks.
Physical ability to occasionally lift up to 25 lbs.
Ability to sit or stand for extended periods of time.
Eligible to work in the U.S.A. without sponsorship.
Must pass pre-employment drug/alcohol testing and occasional random testing as required.
