Position Summary
The Administrative Assistant will be responsible for providing day-to-day support to the office, including, but not limited to the maintenance of all common areas and equipment, mail distribution, and working closely with the Office Manager and Office Services Coordinator to oversee maintenance of the overall facility. This role is also responsible for providing administrative executive support to multiple employees through managing schedules, travel, and expenses.
This position requires an individual who is highly organized, able to juggle multiple tasks simultaneously and does not get easily overwhelmed. We are seeking a team member with a strong customer support skillset who believes “no task is too small.” The Administrative Assistant is a visible role, which requires someone comfortable interfacing with all levels of internal management and staff as well as outside clients and vendors.
This role is based in Austin, TX and is for an immediate start.

Responsibilities
- Maintain all common areas of the office on a daily basis, including kitchens and conference rooms.
- Order and maintain supplies and F&B inventory.
- Sort and distribute mail and packages.
- Support in-office meetings, including setting up conference rooms with materials, catering, and post meeting clean up.
- Coordinate with property management processing work order tickets.
- Support Office Manager with special projects, such as quarterly office team building events.
- Assist with logistics for office lunches, meetings, and trainings.
- Provide administrative support to multiple employees, including managing and coordinating calendars, travel, and expenses.
- 3+ years proven experience in a busy, fast-paced environment, with professional office services, reception, or hospitality a plus
- Strong attention to detail, ability to follow-through, and excellent organizational skills
- Strong sense of urgency, adaptability, flexibility, and resourcefulness
- The ability to function professionally under pressure, while managing multiple concurrent projects and deadlines
- Proven competencies in software applications and programs, particularly Microsoft Outlook; Excel & PowerPoint a plus
- Must possess personal tact, discretion, and good judgment
- Excellent interpersonal, written, and verbal communication skills
- Occasional afterhours work may be required
- Bachelor’s degree a plus
