Accounts Payable Specialist

BioPhase Solutions specializes in recruiting top talented professionals for the San Diego County Scientific community. We are currently looking for an onsite Accounts Payable/Purchasing Specialist to work for a leading San Diego biotechnology company.

*Must be local to San Diego County and willing to be fully onsite.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Process invoices for accounts payable:

• Obtain appropriate approvals and supporting documentation.
• Code invoices accurately and ensure timely payments according to payment terms.

Manage payments:

• Support preparation and execution of weekly check runs.
• Process wire/ACH payments and issue manual checks as needed.

Expense management:

• Reconcile corporate credit cards on a monthly basis.
• Review and process employee expense reports in accordance with company policies.

Vendor management:

• Research and process vendor claims related to invoice payments.
• Maintain positive relationships with vendors.

Financial accuracy:

• Review, investigate, and correct errors or inconsistencies in financial entries and A/P documentation.
• Proactively identify and resolve discrepancies to ensure accurate data and quality processing.

Purchase orders and procurement:

• Process requisitions for purchase orders using the Point Purchasing system.
• Ensure proper documentation (e.g., agreements, quotes) is included for large or special item orders.

Administrative tasks:

• Maintain vendor payable files and related document files.
• Ensure accurate expense allocation on employee expense reports.
• Prepare and file 1099 forms as required.

Accounts Payable/Purchasing Specialist Requirements:

• Completion of an Associate's degree in Accounting or a related field, or an equivalent combination of training and experience or 3+ years of experience in accounts payable, or a recent degree in Accounting.
• Experience using expense reporting platforms.
• Familiarity with accounting software is a must.
• Proficient in MS Suite, specifically Excel and Word.

*Prior work experience in the pharmaceutical, biotech or life sciences industry a plus

*Experience using Point Purchasing or similar accounts payable software preferred
