Meeting Notes

Each week we have a contributor who has been with us for a while draft notes supported by one of the working groups. This is then worked on further by the wider group by Saturday morning and used to plan follow-ups, report back to linked teams, give feedback, and plan actions by the Monday 11 am UTC meeting.

We now have a rota of volunteers to help with this initial draft. We are increasingly writing our updates for team meetings in such a way that they make it easier to be used in our new system of notes and actions and simply copied to the draft notes.

A big thanks to @OGlekler for doing last week’s notes.

Polyglots – WordPress Translation Day Mini Events

We will be creating a form for this.  
  • Plans for how to use the WP Translation Day site were shared in the meeting and mechanics were discussed with @nao.  
  • Update with @nao on locales interested in doing something later in the year around a potential contributor event, and challenges regarding promotions during this time of public health issues.
  • Branding discussion with @nao: we will use the week of celebration of translators/ translation in the WordPress global community, mini events and promotion opportunities, drop-in / recruitment opportunity in polyglots-events on Wed 30 Sept 2020 and Saturday 3 Oct 2020 (possibly Sunday too due to timezones), gathering of Contributor stories, social media promotion and a dedicated web page on WordPress Translation Day (WPTD).
  • P2P2 P2 or O2 is the term people use to refer to the Make WordPress blog. It can be found at https://make.wordpress.org/. polyglots will be finalized and published today with a link to the holding page with an intro on WPTD. It will be cross promoted with marketing, and updated after Monday’s meeting. Post on WordPress Translation Day after Monday (link to be cross-promoted) if not possible before or if information from locales not received.
  • There was discussion on how to cross-promote WPAccessibilityDay on 2-3 October 2020. We contacted Accessibility Day organizers on 8 September (more information will be coming from that team after their 9 September meeting).
  • Discussion on future collaboration on regular queries that have come into marketing discussed with @nao after the polyglots meeting. These will be for a later time.

This is an event where we need a lot of hands from the marketing team. @meher has a rota for those of us who can help specifically during that week.

Poetry Challenge

This activity was of interest to a lot of people but most participants did not make the deadline therefore there is a new deadline for the poetry challenge: 24 September 2020, 17:00 UTC. Get your creative energy running. Lots of time now for everyone to take part.

  • Minimum two verses (stanzas), maximum four 
  • Can be song lyrics, poem or guzzle
  • Can be in another language accompanied by an English translation
  • Can work on an entry individually or with one other person

WordCamp Virginia Beach 2020

A new WordPress release schedule has been published with provisional dates to the end of 2021. The timetable is hoped to help the community with planning and encourage involvement in future development work.

It will be great if anyone else from the marketing team would like to join a chat to content test some of the key areas in this document on this with some plugin and theme developers. If you have a plugin or theme development background, this would be very valuable and a great chance for you to contribute.

Collaboration Time

Quite recently, Abha has been working on ways to make contributor days in countries with native languages other than English easier, more effective and more fun and she’d like your input for making this even better. Share all views about what have been some of the issues in non-English speaking countries. We would love to hear some great feedback and ideas from you in this respect.

She created this new card and volunteered to take lead on this. @Meg Phillips will be helping to get this page updated.

Since this page is located in an area of the site that we don’t actually manage or work on, we may want to reach out to the team that does, and offer help?

Adding images will absolutely help with making the page more easily digestible. We could also reach out to the design team if need be. We are planning to get in touch with the support team first. They’ll need to be willing to accept our offer for help first. And we may want to add this to the to-do list of the communications lead for new releases. Also, a video screencast with a voiceover would be very nice as well. Moreover, visual components can be added later to the content.

A group is working on Marketing Contributor Events and Marketing Support. You can find all the news under ‘Community updates’ in the following meeting notes.

Efforts have been put to find solutions on how we can reduce some of the barriers to marketing contributions and help encourage the use of the multi-language skills of our marketing team members. This reflects feedback gathered at contributor events over the last 18 months. We have worked with organizers on some of the difficulties at the event or in preparation, work with the WCEU community/contributing team, and lessons from events where we have provided support through various methods. It also incorporates feedback gathered with the help of WordPress Translation Day and input from conversations with the German and Italian speaking communities.

One of the key areas which have been identified from our findings is how can we help new marketing team members at events who may need some support with translation access and contribute to the cards. We would love to hear your feedback about how can we capture a list of marketing team members who have a proficiency in another language and/or work in marketing in another language in addition to English, who would be willing to assist either in person or virtually before, at and after the event.

Regarding Google Doc, we are looking at the following questions:

  • Polyglot Overlap: We need to ensure whether they are a Polyglot member already and which locale. Do we need any supplementary questions on how they interact with polyglots?
  • Sometimes it is also about the difference between the literal translation of process terms and marketing language translation, which is where our marketing team members can add considerable value.

Take-away from this discussion: there are different users such content could be focused on, like pluginPlugin A plugin is a piece of software containing a group of functions that can be added to a WordPress website. They can extend functionality or add new features to your WordPress websites. WordPress plugins are written in the PHP programming language and integrate seamlessly with WordPress. These can be free in the WordPress.org Plugin Directory https://wordpress.org/plugins/ or can be cost-based plugin from a third-party/theme devs, WP businesses, end-users, and so on. Mike proposes making a different article with a focus on end-users.

Diversity Speaker Training Marketing

Aurooba feels stalled and could use some help/input, especially with writing up different scenarios of what the community is lacking. For example a11yAccessibility Accessibility (commonly shortened to a11y) refers to the design of products, devices, services, or environments for people with disabilities. The concept of accessible design ensures both “direct access” (i.e. unassisted) and “indirect access” meaning compatibility with a person’s assistive technology (for example, computer screen readers).   4. @webcommsat: It is valuable to be able to raise the feedback from new members at the last few contributor events, and even better that they can read about what is happening to help them in the future. Thanks @siobhanseija for the reply and to everyone at Zurich and Brighton who raised these suggestions again there.  Siobhan, if there is anything that members can do to help in the interim while the new process comes in, I am sure we would have enough people who could help do this and be ready to lend a hand or several.

The metaMeta Meta is a term that refers to the inside workings of a group. For us, this is the team that works on internal WordPress sites like WordCamp Central and Make WordPress.-team’s advice may be needed.

    5. and some even continued working on tasks together the day after the conference too

Encourages team members to read the release blog posts as are a great way to stay up with what is going on with WordPress.   • Members thought the theme could be featured in broader, briefer terms. Potentially reference streamlined css and as much modern CSSCSS CSS is an acronym for cascading style sheets. This is what controls the design or look and feel of a site.
  • previous release notices have noted the arrival of the new theme but have not contained theme detail. The release achievements are the focus of the release notice. The new theme will have its own detailed description on the download page (@jen4blogs4u
  • Action to consider: the discussion in the sub team has tended to view this as a single project, it may need to be looked at as multiple projects. It seems as if we are discussing both as a single project, so I wanted to bring that up. @miker to raise this specifically for feedback 
  • It is believed that all theme releases will be part of a broader WordPress release. Generally there is one theme a year (@miker)

Mobile features promotion

6 – Digital Citizenship week content planning

Task at the meeting: consider audiences we could target with content. Digital Citizenship Week is dedicated to encouraging good digital citizenship and improve smart and safe use of using technology.

Ideas included:

  • some content should be aimed to parents/teachers and maybe at least one article to students themselves (Michelle Ames)
  • how to reach these audiences in the first place? (OGlekler)
  • targeting information potentially into age groups (Yashwardhan Rana)
  • need to publish it and then promote through social media with good hashtags. Make sure the content has good organic SEO for keywords. SEO and catchy titles
  • potentially some infographics
  • at least one picture for social media reposts 
  • a social media swipe file creation to help contributors to Make WordPress to assist in distributing content through blogs and their own social media accounts, and to support the official channels
  • Articles will also be published on WordPress.orgWordPress.org The community site where WordPress code is created and shared by the users. This is where you can download the source code for WordPress core, plugins and themes as well as the central location for community conversations and organization. https://wordpress.org//news. @OGlekle suggests a first article around “What is Digital Citizenship and why should it matter”?

@webcommsat suggests to keep an underlying focus on how the WP community adds to the digital citizenship information and awareness raising in this series of articles and promotions. In this way, the WP community can add real value and substance to the existing information. In the school age education setting, there is already a vast amount of curriculum-approved information in different countries and teaching specialist information by qualified professionals. So perhaps as we are developing the content ideas we can consider how the plan for each one adds to what is already out there or is likely to be being re-promoted by existing topic leaders/ organizations during the week. This will help us link back to WP and improve the likelihood of the messages being heard and used.

@Maziar mentioned he’ll continue to work on a survey to be shared on social media. 

Yvette clarified: the idea of the initial strategic brainstorm was to get a feel among current contributors for what direction the marketing team should go. The idea behind the survey was to make sure those who had ideas but were shy to share them in Slack or a document could still do so in a survey. 

Therefore, adding suggestions for questions to the survey will be helpful, but a survey like that will not be promoted on social media. Potentially, we could ask new contributors to fill it out so that we could see trends?

WCUS Outcome

  • No more subgroups, we are one unified group. TrelloTrello Project management system using the concepts of boards and cards to organize tasks in a sane way. This is what the make.wordpress.com/marketing team uses for example: https://trello.com/b/8UGHVBu8/wp-marketing. board collapsed into one entity. Thank you  to @mcdwayne and @annelieke who did this merging
  • To reiterate EVERYONE has the ability (AND PERMISSION) to make a Trello Card. We have instructions here: https://trello.com/c/GcNFAQ7x/32-welcome-heres-how-to-get-started
  • The projects from the former subgroups are still valid. We just want to continue to work and function as one team.
  • Be sure to subscribe to the Marketing Blog so you read our weekly updates. Our blog is at https://make.wordpress.org/marketing/
  • Reminder to us all to say and use make.wordpress.orgWordPress.org The community site where WordPress code is created and shared by the users. This is where you can download the source code for WordPress core, plugins and themes as well as the central location for community conversations and organization. https://wordpress.org/ on things and not just use the jargon “P2P2 P2 or O2 is the term people use to refer to the Make WordPress blog. It can be found at https://make.wordpress.org/.”. Make it easier for all who are not as up on jargon to follow along.

To Do List:

We have 4 main things at the moment:

  1. Contributor dayContributor Day Contributor Days are standalone days, frequently held before or after WordCamps but they can also happen at any time.   2. Task of the Day: Getting word out about Make.WordPress.org

  1. Challenges include that the current naming is a mouthful and not self-explanatory to newcomers
  2. What should we call make.wordpress.org when we tell people that’s how you contribute?
  3. Perpetual Confusion between .org and .com is a consideration and a hurdle
  4. I Make WordPress.org stickers designed by @harryjackson1221 and distributed during WCUS  trying to help alleviate the confusion
  5. Messaging like this on Twitter by @jenblogs4u (in fact everyone Tweet it out!) is important “Do you #design, #develop or #blog in #WordPress?   6. Vital Hashtag information: We all should be using #MakeWordPress and #Community is to get the other people seeing that tweet.

  8. We are writing copy that promotes make.wordpress.org to the general public (meaning people who want to contribute but don’t know where to start). @tlctara has volunteered to start this.
    1. @angelkiss might provide some graphics
    2. Needs to be language that doesn’t have too much jargon
    3. Must be newcomer friendly, but also understandable for “old timers” who are up on the jargon. So unless something is done to change the term/announce a change in term, leads will still use P2. Currently team reps like @gidgy have the experience that when they were newcomers that this term “confused me and made me feel left out and confused … made it harder to contribute and feel helpful” therefore let’s use new and old terms side-by-side to make all feel welcomed and to stay informed. For example, “Our marketing blog (A.K.A. the P2) recaps the work the marketing group of volunteers is tackline.”
